Changes to book rooms for outpatient appointments

Our improvement and innovation team has worked with our outpatients’ team to understand its issues with outpatient appointments, and the availability and suitability of rooms coupled with increased demand. All of this was affecting our ability to deliver improvements to manage our waiting lists.

Colleagues working in outpatients services said that a lack of suitable space was affecting the team’s ability to deliver improvements to manage our waiting lists, and that rooms were in the wrong place, not fit for purpose and did not meet people’s needs.

The teams co-designed a solution – a new centralised room booking system which aligns clinical capacity to room availability to make the best use of our outpatient space.

From today, anyone needing to book a room for an outpatient appointment must complete appendix B of the accommodation request form and email it to graham.tombs1@nhs.net, property and space manager who will add it to our central space utilisation database. All requests will then be considered for approval by the outpatient leadership team during its monthly meeting. Please provide as much information as you can to help the team make a quick decision.

A new online booking system is being created to replace the booking form – we will let you know when this is ready to use. Until then, please use the new accommodation request form. Please contact Graham Tombs if you have any questions: graham.tombs1@nhs.net or 07584 520181
